From site findings to asset decisions

Two connected workflows for your building.

Bring site information into a clearer structure and carry the findings through to maintenance planning. Reporting requirements, ongoing updates and the systems used are agreed with you.

WinterScope — site audits

See the site clearly. Agree a structured audit with asset details, photographs and prioritised condition findings.

WinterAtlas — asset management

Keep the asset story together. Agree a register that connects equipment, maintenance findings and replacement priorities.

Turn site findings into a practical plan

You may be taking over a building, dealing with recurring faults or preparing next year’s maintenance budget. An organised site audit gives you a starting point: what is installed, what can be verified, where the gaps are and which actions deserve attention first.

We agree the equipment, inspection depth and reporting requirements before the visit. The aim is useful information for the people responsible for the building, with findings linked to the assets and areas they affect.

What your site audit can cover

We can start with a selected problem area or agree a wider building or portfolio review. Access arrangements, asset numbers and available records determine the scope.

  • HVAC and mechanical equipment: chillers, VRF/VRV, packaged and ducted air conditioning, pumps, ventilation and associated controls within the agreed scope.
  • Commercial refrigeration: coolrooms, freezers, accessible plant and relevant service records.
  • Asset identification: location, make, model, serial number and available installation or service information. Missing details are recorded as unknown.
  • Visible condition, service access, reported faults and signs that further investigation is needed.
  • Operating schedules, available alarm history and maintenance records, with functional checks or trend analysis agreed separately.
  • Replacement considerations: equipment condition, parts and support availability, operational importance, access and shutdown implications.

Information that supports the next decision

Facility managers

Bring inherited records together, identify maintenance gaps and give your team a prioritised list of issues to investigate or resolve.

Building owners & body corporates

Understand ageing plant and operational risks before committing to repairs, refurbishment or replacement.

Property & portfolio teams

Agree a consistent reporting format across sites so asset condition and follow-up actions are easier to compare.

A report you can act on

  1. Establish the asset baseline

Record the assets inspected, their locations and identification details, supporting photographs where permitted, and any information gaps.

  2. Explain the findings

Separate observed defects from reported symptoms and items that still need testing. Record inaccessible areas and inspection limitations.

  3. Prioritise the response

Identify urgent concerns, planned maintenance actions and longer-term replacement considerations using the agreed assessment criteria.

  4. Set out the next steps

Agree follow-up investigations, repair proposals or a replacement plan. Budget estimates can be included where requested, with assumptions and scope made clear.

Keep the asset information useful

A register is most useful when it stays connected to the work being done. We can agree how audit findings, service records, outstanding defects and replacement priorities are carried into your ongoing maintenance arrangements.

Tell us if you already use a facilities platform or asset register. We will agree the required fields, report format, responsibility for updates and any practical data handover before work begins. Software integrations and customer portal access are confirmed separately.

Interested in AI-assisted building diagnostics?

Structured asset information creates a better starting point for analysis. Ask us about a technician-led review using available service notes, equipment documentation, alarm history or trend data to help organise evidence and identify questions worth investigating.

AI-assisted review can be scoped around your building and the information you are comfortable sharing. We agree the data sources, permitted tools, access and intended use first. Technical findings need to be checked against the actual equipment and operating conditions before they become maintenance recommendations.

Ongoing monitoring, predictive maintenance models and automatic control changes require a separate assessment of the data, controls and safeguards. We can discuss what is practical for your site and involve your controls contractor or IT team where needed.

Agree the inspection scope before we arrive

Share your site address, asset list if you have one, the issues you want answered and any reporting deadline. Include tenant access, roof or plant-room restrictions, shutdown requirements and site inductions.

The proposal will set out the inspection and reporting scope. Intrusive investigation, specialist testing, detailed engineering design, statutory inspections and cybersecurity testing are included only where expressly agreed. A general condition audit does not replace your building’s required compliance inspections.

Your questions, answered

What is a commercial HVAC site audit?

It is an agreed review of the HVAC and mechanical assets at a site, their accessible condition and the records available. The report identifies findings, information gaps and recommended next steps. The level of testing depends on the agreed scope.

Can you audit a building we have just taken over?

Yes. Send any existing asset register, service records and known issues. We can scope a baseline review and identify missing information so you have a clearer starting point for maintenance planning.

Do we need to change maintenance contractors?

A site audit can be scoped as a standalone piece of work. We can discuss how the findings will be shared with your facilities team, existing contractor or consultant, and separately price any follow-up work you want us to undertake.

How much does an audit cost and how long does it take?

We quote after reviewing the site, asset numbers, access, testing and reporting requirements. Let us know if you need a targeted review of a particular problem or a broader building assessment, and when the report is required.

Can you help with an asset register and replacement budget?

Yes. We can include an asset register and replacement priorities in the agreed deliverables. Budget estimates require an appropriate scope and available information; they are distinguished from a firm quotation or a detailed engineering design.

Can AI predict when our equipment will fail?

Reliable predictive work needs suitable historical data, validated methods and an understanding of the equipment and operating conditions. We can discuss whether an AI-assisted review is worthwhile for your site. A condition audit or AI-generated suggestion is not a guarantee of remaining service life.

Does the audit include building controls cybersecurity?

We can record the controls and remote-access arrangements relevant to the mechanical scope and flag questions for your IT or controls provider. Network security testing, penetration testing and formal cybersecurity assurance need an expressly agreed specialist scope.
